To get a PowerPoint file as a PDF, use the built‑in export or print to PDF options instead of “Share” or email integration (which can fail if mail is misconfigured). Use one of these methods depending on where PowerPoint is used:
PowerPoint for Windows (desktop app)
- Open the presentation.
- Select File > Export.
- Select Create PDF/XPS Document, then select Create PDF/XPS.
- In Publish as PDF or XPS:
- Choose where to save it and set a File name.
- Under Optimize for, choose:
- Standard for higher quality (good for printing), or
- Minimum size for a smaller file (good for email).
- Select Options… if only certain slides or handouts are needed.
- Select Publish.
If an error appears about saving recent uploads, first save the presentation locally (for example to Desktop or Documents), then repeat the steps and choose that local folder as the PDF location.
PowerPoint for the web (browser)
There are two supported ways:
Method 1 – Export as PDF
- Select File > Export.
- Select Download as PDF.
- The PDF is generated and downloaded to the browser’s default Downloads folder.
Method 2 – Print to PDF
- Select File > Print.
- When prompted, choose the format (for example, full page slides).
- In the browser print dialog, under Printer, select Save as PDF.
- Select Save, choose a folder, name the file, and select Save again.
If the browser reports that it cannot save or download:
- Confirm there is write access to the chosen folder.
- Check that the browser is allowed to download files and that storage is not full.
PowerPoint for Mac
- Open the presentation.
- Select File > Export.
- Choose PDF as the file format and a save location.
- Select Export.
If print quality needs adjustment (for example, to reduce size):
- Select PowerPoint > Preferences.
- Select General.
- Under Print Quality (Paper/PDF), set Desired Quality to High, Medium, or Low.
If the issue persists only when trying to email or “Share as PDF,” use the export/print methods above and then attach the saved PDF manually in the mail client.
