    Hello @Janet Eldridge,

Welcome to the Microsoft Q&A Forum.

Thank you for sharing the details. Based on the information you provided, it appears that your concern is related to the number of emails showing in the Outlook desktop application.

By default, Outlook desktop is set to display emails from the last 1 year only. This setting helps improve Outlook’s performance. You can change this setting by following the steps below:

    1. Open Outlook and click File.
    2. In the middle of the screen, select Account Settings.

    1. When the Account Settings window opens, select the email account you are currently using.
    2. Click Change.
    3. Adjust the date range to display more emails, then save the changes.

After making this change, Outlook will take some time to download and display older emails. Please allow up to 24 hours, as the update is not reflected immediately.

Please let me know if this information helps resolve your issue. If you have any further questions or concerns, feel free to reach out.

In Outlook, the default setting for the Mail to keep offline option determines how many months of email messages are synchronized with your Offline Outlook Data (.ost) file. By default, this setting may limit the view to the last 12 months of emails, depending on your configuration and the size of your hard disk.

To see all messages, you can change this setting:

    1. Start Outlook.
    2. Go to the File tab and click on Account Settings, then click Account Settings again.
    3. On the E-mail tab, double-click your Microsoft Exchange account.
    4. In the Change Account dialog box, adjust the Mail to keep offline slider to All to synchronize all email messages.
    5. Click Next, then OK when prompted to restart Outlook.
    6. Click Finish and restart Outlook.

This will allow you to view all messages in your folders, beyond the last 12 months.
