How to copy template checklist with tasks to other projects on teams

Thank you for following up and for taking the time to share the screenshots, they’re very helpful and clearly show what’s happening.

Based on the Teams screenshot you provided, the prompt you’re seeing (“Add an existing page,” with a field to paste a link) indicates that you’re currently adding a SharePoint/Page-type tab, rather than a Planner (Tasks) tab. In this flow, Teams is specifically expecting a page URL, which is why your Planner plans list isn’t appearing.

To add your checklist as a Planner plan within a Teams channel, I’d recommend trying the following approach instead:

  • Go to the Team and channel where you want the checklist to appear.
  • Click the + (Add a tab) at the top of the channel.
  • Search for and select Planner (or Tasks by Planner and To Do).
  • Choose Add an existing plan (or create a new plan if needed), and then click Save.

If your plan still doesn’t show in the “existing plan” list:

If your plan still doesn’t appear in the existing plan list, it’s important to note that Teams only lists plans that are shared with the same Team or the Microsoft 365 Group associated with that Team.

From your Planner screenshot, your template plan appears to be shared with one specific Team. As a result, if you’re trying to add it to a different Team or channel, it may not show up as an option.

As a workaround, you can create or copy the plan directly into the Team where you want to use it so that it’s associated with that Team’s group.     I have a different question, in the imagine below my boss can't copy a plan from this template is there a reason why? Even if we change it from Grid, Board, timeline option none provide the ability to copy plan? Please explain. User's image

    Hello,

    Feel that I am just not understanding your explanations to my issue. Below I am in the "WEB Planner" and it shows the "Build Approval Checklist - Template" that I copied per your instructions.

    It is in the "CRL NPI/NPD Process" channel or team's project where I want to use it per the imagine below.

    • Good news is I got it to work! I didn't notice that I was supposed to click on the "APPS" option on the pull down and once I picked planner, I was able to add the copied one to the channel. Appreciate your help! :)

    Hello again,

    I found the template that I copied on " MY PLANS" (see 2nd imagine). I opened it again and reassociated it on the web to the team's group/channel. There is no list of plans for me to pick from.. please see 1st image.

    I followed the steps below, but the problem again is I am not seeing the plan I copied. There is no visible list showing it. Please explain what am I doing wrong?

    To make the copied plan visible in the target Team, you’ll just need one additional step in Teams:

    • First, open the destination Team and go to the channel where you want to use the copied checklist.
    • Then, select + (Add a tab) at the top of the channel. Choose Tasks by Planner and To Do. Select Use an existing plan, and in the list, look for the plan name you copied.
    • Finally, save the tab, and the copied checklist should appear in that channel.
