Setting up future meetings or classes using Teams calendar tools

To help you regain control over breakout rooms during your meeting, please review the following key setup steps and checks:
1.Ensure the meeting is scheduled (Not instant)
Breakout rooms can only be pre-created for scheduled meetings, not ad-hoc or "Meet Now" meetings.
- Go to Teams Calendar > New Meeting (or New Event)
- Schedule the meeting with a title, time, and participants
2.Use the desktop app
Breakout room pre-creation and management features are only available in the Teams desktop app, not in the web version or mobile app.
3.Pre-Create Breakout Rooms Properly
After scheduling the meeting:
- Go to Teams Calendar
- Open the scheduled meeting (Double click or click on Edit meeting)
- Click Breakout rooms (in the top menu bar)
- Create rooms and assign participants
- You can select multiple participants at once or assign them individually to breakout rooms.
- Make sure to click “Save” after setting up the rooms.
4.Join as the organizer or co-organizer
Only the meeting organizer or a designated co-organizer can manage breakout rooms.
- If you're not seeing the breakout room controls, double-check that you're joining the meeting with the same account that scheduled it.
- You can assign co-organizers in the meeting options before the meeting starts.
5.Check meeting options
Before the meeting:
- Go to the meeting in your calendar
- Click Meeting options
- Navigate to Role tab and ensure that:
- "Who can present" is set to "Only me" or specific people
- Assign presenters includes you if you're not the organizer
6.Update Teams
Make sure your Teams app is up to date:
- Click on Three dot menu (at the top right corner) > Select Settings > About Teams
