To explain this issue, Information Rights Management (IRM) is a feature in Microsoft Office that allows the file owner to restrict different levels of access to a document. For example:
In a document created by John, he might give Aden permission to read but not edit it, while Michael is allowed to make changes. John might also set a five-day access limit for Adele and Alex.
In the meantime, here are my recommendations that you can try.
1/ Use the original author’s account
- If possible, ask the document owner to open the file and adjust or remove IRM permissions.
- Only the original author or someone with admin rights can change IRM settings
2/ Sign out and sign Back In
- Sign out of all Microsoft Office apps (Word, Excel, Outlook, etc.).
- Restart the app and sign back in using the correct account.
- This can reset IRM configuration and resolve stuck authentication
3/ Check conditional access policies(Admin rights required)
- If the document is from another organization, you may need to be invited and provisioned in their tenant to access it.
- Without proper provisioning, authentication will fail even if you’re signed in
4/ Try a different access method
- If you're using Office desktop apps, try opening the document in Office Online, or vice versa.
- Some IRM-protected documents only work in desktop apps due to encryption settings
5/ Repair Office installation
- Go to Control Panel > Programs > Microsoft Office > Change.
- Choose Quick Repair or Online Repair to fix any corrupted Office components
6/ Verify your subscription and account
- Make sure your Office 365 subscription is active.
- Confirm you're signed in with the correct Microsoft account (especially if you have multiple accounts)
