Additional Class Notebook-related features and issues within Microsoft Teams for Education
Hello @Bree Parker
Welcome to Q&A forum!
Thank you for posting your query. To ensure we're aligned and I can provide you with better support, could you share a bit more information? Your details will help me assist you more effectively
1. Are you using personal (hotmail.com, outlook.com) or educational (@edu_) or business account (@domain.com)?
2. Could you clarify what type of document you're trying to insert into OneNote (an Excel link, a Word link, or another format?)
You can also try to insert other link to see if you can see embedded view. If yes, the issue might be only related to this specific file.
3. Are you using OneNote Web or Desktop?
If you are opening OneNote in your Desktop, you can try to open the notebook in a browser (preferably Microsoft Edge) and test the embedded link there.
4. Have you signed in with your Microsoft 365 account?
- Embedded documents require authentication.
- If the person viewing the OneNote page isn’t signed in, they’ll only see a Microsoft 365 sign-in prompt.
Please kindly recheck to log in using their Microsoft 365 credentials.
5. Do you have permission to access the document?
- Even if signed in, they need access rights to the document stored in SharePoint or OneDrive.
The owner can go to the document in SharePoint/One Drive→ click “Share” → choose “People with existing access” or “Anyone with the link” (if allowed by your organization)
6. Is the document link a direct file link, not a folder or site link?
- OneNote can only embed direct document links.
- In SharePoint, click the document → choose “Copy link” → make sure it points directly to the file (e.g., ends in .docx, .pptx, etc.)
7. How do you insert this document link to One Note (using copy + paste or using built-in tool of OneNote?)
You can try to insert this document by following steps: Insert -> File Print out
8. Are other users in your organization experiencing the same issue as you when embedding a link in OneNote?
Please kindly check with your friend to see whether this issue is a common one or only happening to you
Besides, you can also try these steps to see if it helps:
- Clear Browser Cache (if you are using One Note Web) How to Manage and Clear Your Cache and Cookies | Edge Learning Center
- Update OneNote to the latest version.
- Click on "File" and then "Account."
- Under "Product Information," click on "Update Options" and then "Update Now."
Note:
- Embedded previews aren't fully editable in OneNote, you'll need to open the document in Word to make changes, then refresh the preview (right-click the embed > Refresh).
- If it still prompts for sign-in, right-click the embedded frame > Open in new tab, sign in to SharePoint/OneDrive, then return to OneNote, the preview should load.
Additionally, I also searched for some Microsoft Article which is related to this issue, please take a look to see if it helps:
