We have a shared mailbox in out organization, but some of the users are are using the local version of Office are facing issue for mail duplicates, (if they move a email from inbox to "working" folder it will duplicate in working and inbox as well) This happens sometime and most of the times it sync perfectly fine.

Thinking of re-adding the users to the mailbox but, not sure if re-adding them back will sync up all their work and folders they might have created within outlook as they all have important record. which will need to have access back as they have currently.

Troubleshooting performed

  • Created new outlook profile
  • Used Microsoft Support and Recovery Assistant for the duplicate shared mailbox issue
  • Cleared cache and re-installed o365
  • No issues with the web version of Outlook.

    Hi @Keyur Hedau

    Welcome to our forum!

As far as I know, removing the user and adding it back to the shared mailbox helps with syncing issues, but it doesn't necessarily resync all local folders and categories.

When you remove a user from a shared mailbox, their local data, such as folders and categories, may not be automatically resynced when they are re-added. This is because the local data is stored in the user's Outlook profile and not on the server.

As a result, users may need to manually reconfigure some settings. It is recommended that before deleting a user, it is best to back up their Outlook data files to ensure that no important information is lost.
